How to run a client call with an AI meeting assistant
The tool matters less than the habit around it. This is the routine we see work for freelancers and small studios.
- Ten minutes before: read what is still open from the last call and any new email from the client. Write the one decision you need from this call.
- First minute: say you are taking notes with an AI tool. Most clients are fine with it. Some will ask where the notes go, so have an answer.
- During: talk to the person. When you agree to something, say it out loud with a date: "I will send the revised menu by Friday." Clear words make clear action items.
- Last five minutes: repeat back who owes what. It catches mistakes while everyone is still there.
- Right after: read the note, fix anything wrong, and move your tasks onto your list with a time if they need one.
- Same day: send the follow-up email. A short recap the same day beats a long one next week.

Short, dated, and every task has one owner. That is the whole trick. And note the line about the shop: when a client asks for something outside the brief, say so in writing the same day. More on that in scope creep.

Privacy and consent, in plain words
Any meeting assistant records people, so be open about it. Tell everyone on the call, at the start of the first meeting or in your contract. Rules differ by country and state, and some places need every person to agree. A bot at least shows up in the participant list. A bot-free tool like SayBriefly does not, which is why saying it out loud matters more, not less.
Also check where your notes go. Ask any vendor whether they store audio, how long they keep transcripts, and whether you can delete them. If a client works under a strict contract, ask them before the first call, not after.
