Privacy Policy

SayBriefly turns your meetings, email and projects into tasks and catches scope creep. To do that, the content you connect is processed by cloud AI providers on our behalf. This policy explains plainly what we collect, who processes it, what we keep, and how to delete it. We do not sellyour data and do not use it for advertising.
It covers the SayBriefly desktop app (macOS), the SayBriefly Mail Chrome extension, and the SayBriefly web workspace (together, the "Service").
1. Information we collect
Account information. When you create an account we collect your email address and name through our authentication provider (Supabase).
Email (Chrome extension).The extension reads the Gmail threads in your browser (no Gmail OAuth access). The email content is sent to our servers and to our AI provider to classify it, summarise it, and find tasks and scope changes. The email text is stored in your workspace so you can see it next to its summary.
Meetings (desktop app). When a call is detected, the app records the audio and shows a live transcript. After the call, the audio is sent to our speech providers to produce the final transcript and identify who spoke, then deleted. The transcript, notes and action items are stored in your workspace. If you name a speaker, a voice profile (a numeric voice print, not audio) may be kept so we can recognise them in later meetings.
Dictation (desktop app). What you dictate is sent to our speech provider to turn it into text. The text is inserted where your cursor is.
Calendar and integrations. If you connect Google Calendar, Figma, Granola or other tools, we read the data needed for that feature (events, comments, notes) and store it in your workspace.
Slack (optional). If you connect Slack, messages in channels you link are read and classified. Raw message text is retained for at most 24 hours and then discarded — only structured facts persist.
Attachments & feedback. If you upload a screenshot or submit feedback, we store that file and basic technical context (page URL, browser user-agent) to reproduce issues.
2. How we use information
We use the information above only to provide and improve the Service: to authenticate you, surface decisions, action items, scope alerts, and summaries inside your workspace, and to diagnose problems you report. We do not use your content to build advertising profiles.
3. AI processing
Summaries, task extraction, scope checks and the in-app assistant use a cloud large language model from Meta. Meeting and dictation transcription use Meta, DeepInfra and pyannote. These providers receive only what is needed for the task. Meta may use content sent to its model to improve its services under its terms. If that does not work for you, contact us before connecting email or recording meetings.
4. How we share information
We do not sell your personal information. We share data only with service providers that operate the Service under contract:
- Supabase: database, authentication and file storage.
- Meta: AI language model and speech-to-text.
- DeepInfra: speech-to-text for meetings.
- pyannote: identifying who spoke in meetings.
- Google Cloud: search embeddings, and Google Calendar if you connect it.
- Cloudflare: website hosting and app downloads.
- Paddle: payments and billing.
- Amazon Web Services (S3): storage of attachments you upload.
We may disclose information if required by law or to protect the rights and safety of our users.
5. Data retention
Your workspace content (emails, transcripts, notes, tasks and summaries) is kept while your account is active. Meeting audio is deleted after the transcript is made. When you delete your account, we delete your associated data.
6. Security
Data in transit is encrypted with TLS, and data at rest is encrypted by our infrastructure providers. Access is restricted and scoped to your workspace.
7. Your rights
You can access, correct, export, or delete your data at any time from your account settings or by contacting us. We will respond to verified requests within a reasonable period.
8. Children
The Service is not directed to children under 16, and we do not knowingly collect their personal information.
9. Changes to this policy
We may update this policy from time to time. When we do, we will revise the "last updated" date above and, for material changes, notify you in the app.
