What is a calendar to-do list?

A calendar to-do list is a task list where each task can have a date and a time, shown in the same view as your meetings. The list holds everything you have to do. The calendar shows when you will actually do it.

How to time-block your to-do list

  1. Start with the fixed things. Meetings and calls go on first. What is left is the time you actually have.
  2. Pick one to three big tasks. Give each a block of 50 to 90 minutes, ideally in the morning before calls start.
  3. Put follow-ups right after calls. The task "send the scope" is easiest 15 minutes after the call where you promised it.
  4. Leave small tasks untimed. Replies and quick admin stay on the list and fill the gaps.
  5. Move, don't delete. When a block slips, give it a new time. The task stays linked to where it came from.

Calendar and to-do list in one app

Most people run two apps: a calendar and a separate task list, like Google Calendar with Todoist. That works until a task is born on a call. Then you have to remember it, open the other app and type it.
