Google Calendar appointment scheduling, step by step
How to set up an appointment schedule in Google Calendar, what the free plan includes, and what to add when your bookings are clients.
The short answer
In Google Calendar, click Create, choose Appointment schedule, set your length and hours, click Next, then Save and share the link. A personal Google Account gets one booking page. Reminders, payments, email verification and more pages need a paid Google plan. If you want a form first, leads kept and call notes on every booking, SayBriefly syncs with Google Calendar and adds them.
How to create an appointment schedule in Google Calendar
- Open Google Calendar on a computer at calendar.google.com.
- Click Create at the top left and choose Appointment schedule.
- Set the basics: a title, the appointment length and the hours you are available.
- Adjust the window: how far ahead people can book and the minimum notice. Google's default is 4 hours.
- Add limits if you want: buffer time between appointments and a maximum number of bookings per day.
- Click Next and set up the booking page and booking form.
- Click Save, then share the booking page link.

Where Google's appointment slots stop
No lead when they leave
Someone who opens the page and does not book is gone. There is nobody to follow up with.
No client record
A booking is an event on your calendar, not a contact with a history.
Nothing after the call
What was said, what you owe and what is still open live somewhere else.
For many people that is fine. If your appointments are client calls, the booking is where the work starts.
SayBriefly: booking links that sync with Google Calendar
SayBriefly is an app for Mac and Windows where calls, email, tasks and your calendar share one memory. It connects to Google Calendar: busy times block your slots and booked meetings land on your calendar. On top of that:
Gated form
Your questions come first. Times open only once the required answers are in.
Leads kept
Fill the form and leave without a time, and they stay in Bookings as a lead.
Bookers become contacts
Everyone who books lands in Contacts, with the booking in their history.
Buffers and notice
Buffers before and after, a minimum notice, and your approval if you want it.
Call notes, no bot
The note is written from your computer after the call. No bot joins.
Since last call
The next note shows what is done, still open, asked again and changed.
Honest limits: SayBriefly connects to Google Calendar only, takes no payments, and has no round robin or routing to teammates. If you need paid bookings, Google's paid plans or Calendly are a better fit. See the best Calendly alternatives or the full scheduling app page.
Questions people ask
How do I set up an appointment schedule in Google Calendar?
On a computer, open Google Calendar, click Create at the top left, choose Appointment schedule, set the length and your available hours, click Next, adjust the booking page, and click Save. Then share the booking page link.
Is Google Calendar appointment scheduling free?
With a personal Google Account you can create a single booking page. Several booking pages, email reminders, payments, email verification and checking availability across several calendars need an eligible paid plan, such as Google One Premium or most Google Workspace plans (Google's help pages, checked September 2026).
Can I add buffer time between Google Calendar appointments?
Yes. The appointment schedule settings include buffer time between appointments and a maximum number of bookings per day.
What is the minimum notice for a Google Calendar appointment?
By default Google sets a 4 hour minimum lead time. You can change the scheduling window in the appointment schedule settings.
Can people book Google Calendar appointment slots without a Google account?
Yes, guests can book from the link. On eligible paid plans you can turn on email verification so people without a Google account confirm their email first.
Can I screen people with a form before they see my times?
Google's booking form collects answers as part of the booking. In SayBriefly you can switch a link to gated, so the form comes first and times appear only after the required answers are in. People who fill the form and leave are kept as leads.
Does SayBriefly work with Google Calendar?
Yes. Busy times in Google Calendar block your SayBriefly booking slots, and booked meetings land on your Google Calendar. Google Calendar is the only calendar it connects to today.
Can clients pay when they book in SayBriefly?
No. SayBriefly booking links do not take payments, and there is no round robin or routing to teammates. Google's appointment schedules can take payments through Stripe on eligible paid plans.

It's 4pm on a Friday. The brief is locked, the client is happy, and Scribbble already sent the meeting recap. You close the laptop.
That's the point.
Keep Google Calendar.
Keep the client too.
